HuddleScribe Privacy Policy

HuddleScribe is a personal voice-note app. This policy describes what data
the app handles and where it goes.
What we collect and why
- Audio recordings. Created only when you explicitly start a
recording or share a file into the app. Audio is uploaded to our backend to
produce a transcript, and a copy (for recordings under ~45MB) is stored in our
database's private storage so your note isn't lost if processing fails.
- Transcripts, summaries, and detected terms. Stored in our
database and on your device so you can browse your history.
- People and speaker links. Names you type into the people
library and the speaker-to-person associations you confirm.
- Voiceprints. Numerical voice embeddings (not audio)
computed from confirmed speakers or explicit enrollment, used solely to
suggest who is speaking in your future recordings.
- Location (optional). Only if you choose to attach a
location to a recording: the app asks for while-in-use location permission,
captures a single place name for that note, and stores it with the note. The
app never tracks location in the background and never uses it for anything
else.
Where data is processed
- Transcription uses the Google Gemini API. Audio sent for
transcription is subject to Google's API data handling terms; files uploaded
via the Gemini Files API are deleted after processing.
- Voiceprint computation happens on our own servers
(open-source models, no third-party speaker-recognition service). Embeddings
never leave infrastructure we control (Fly.io, Supabase).
- Document export (optional). If you connect Notion, Feishu,
or Google Docs, meeting notes you explicitly send are delivered to that
service under its own terms. Access tokens are stored on our server and used
only for exports you trigger.
What we do NOT do
- No advertising, no analytics SDKs, no tracking identifiers.
- No sale or sharing of any data with third parties beyond the processing
described above.
- No contact-list or photo access; no background location.
Data deletion
Delete any session from the app to remove it locally. To request deletion
of all server-side data (sessions, audio backups, people, voiceprints),
contact the developer; deletion is completed within 30 days.
